GPS in your fleet: the checklist to review before installing

Clear consent, an identified fleet, verified installation and a defined daily operation: the preparation that must be completed before touching the first vehicle.

Delivery fleet van loading at the warehouse

Installing GPS tracking does not begin on the day the first vehicle is touched. It begins earlier, with order: clear consent, an identified fleet, verified installation and a defined daily operation. When that order is respected, the system starts well from the first unit; when it is skipped, the company ends up correcting on the fly what was simple to prepare.

First: consent and clarity

Company tracking covers company vehicles and assets, for declared work purposes. Drivers and users of the units must be informed that the vehicle has tracking and what it is used for. The internal policy is put in writing: what is viewed, who views it and for what purpose. And it is also made clear, in writing, that people and personal devices are not tracked. That prior agreement protects the company and its personnel: all parties know the scope of the system before it begins operating.

Second: the fleet, identified

Before installing, the company prepares the complete list of units: plate, make, vehicle type and work schedule. If trailers, equipment or machinery will also be tracked, those assets are defined at this stage, not later. Each unit's normal operating zones are identified and a company representative is named to accompany the process and sign the records.

Third: installation day

The units must be available at the agreed times, with access to their interior and battery. Each installation closes with signal verification and a platform test, with its signed record and the equipment registered by serial number, and with the agreed photographic record. Installing without verifying is leaving the job half done.

Fourth: the operation that follows

A tracking system is not operated only when someone is missing: it is operated every day. That is why, before starting, platform users are named with their role —owner, supervisor, operations—, the initial alerts that matter are defined —zones, schedules and events— and the calendar for the first 90 days is scheduled: reviews, reports and revisions. That routine is what turns installed equipment into a management tool.

How to read your preparation

If your company completes the full list, it is ready to install at a professional level from the first unit. If it completes most of it, close the legal and documentary items first: it is simple to do beforehand and costly to correct later. And if it completes little, the right decision is to put the house in order first: installing over disorder only produces data nobody believes.

The house golden rule is simple: professional tracking rests on three legs —clear consent, verified installation and daily operation—. Remove one and the system limps.
